Q-bital are part of the Vanguard Group. Q-bital EU was established in 2020 and is based in The Netherlands, with a growing team. Our purpose-designed and built modular and mobile facilities provide our clients with new or replacement Operating Theatres, Wards, Endoscopy Suites and Decontamination and diagnostic units.
We are currently seeking an Operations Support Administrator to join our operations team. This is an office-based role, at our European head office in Nieuwegein, the Netherlands, working 28-40 hours a week.
Key Responsibilities:
General
- All secretarial tasks for the Neatherlands Management Team such as agenda management and taking minutes during meetings
- Support the Director of Operations with diary management and take minutes of meetings and coordinating meetings as required
- Prepare and carry out internal ISO audits as per schedule and complete reports. Assist in ensuring compliance to all relevant legislations and ISO standards
- Support in all areas of business administration, collaborating with colleagues to improve and modernise processes and procedures
- Any other task that the management team requests to support the running of the business
- Responsible for all on premise equipment and service contracts
- Making sure they are maintained, logged and information / certificates are collected and controlled
- Collaborating with Netherlands stakeholders and Operations Support Team in the UK
- Administration of goods receiving documents like packing slips and other documents
- Providing support and coordination to the Environmental, Social and Governance (ESG) lead for local activities / initiatives
Office Management:
- Setting standards for housekeeping
- Manage deliveries and visitors
- Ensure stock of supplies – consumables, perishables or other are maintained and audited regularly
- Responsible for the office telephone and taking messages as required
- Managing the car fleet and coordinate third party reviews and relevant documentation
Local/Group Support:
- Organise training, keep training records up to date and making sure that training is renewed on time when necessary
- Support the on-boarding and off-boarding processes of employees
- Supporting scheduling recruitment interviews as required
- Active participant of Employee Engagement Group
Requirements:
Essential

- Curiosity to understand detail of requests to gain full understanding

- Solutions focused with a hands-on attitude
- Excellent in Dutch and English both written and spoken
- Is able to demonstrate high levels of confidentiality
- Excellent / advanced MSOffice skills to include PowerPoint; Word and Excel
- MBO4 certificate
